How to roll out a question bank in six stages

Stage 1: choose one high-value pilot

Start with one subject, year group and upcoming assessment. A focused pilot gives teachers a reason to use the bank immediately and reveals taxonomy problems while the collection is still small.

Stage 2: agree the minimum metadata

Require only fields that someone will search, filter or audit. A practical starting set is curriculum, subject, topic, type, marks, answer, status and owner. Add difficulty and cognitive level when the team can apply them consistently.

Stage 3: migrate selected content

Security and governance questions to ask

Assessment content can be sensitive. Before adoption, ask:

  • Can access be limited by role and institution?
  • Are changes attributable to a named user?
  • Can retired or compromised questions be excluded from selection?
  • How are backups handled, and how can the institution export its content?
  • What happens to the data when the subscription ends?
  • Can authors see material outside the subjects or branches they manage?
