How Examiar collects, uses, protects and shares personal information across our website and application. If a signed customer order conflicts with this public page, the signed order controls for that customer.

1. Scope and our role

This policy applies to examiar.com, app.examiar.com and related support communications. Examiar is the controller for account, website, billing and support information. When an organisation uploads questions, curriculum material or other workspace content that contains personal information, Examiar generally acts as its processor and follows the organisation’s documented instructions.

This policy should be read with our Terms of Service, Cookie Policy and Data Processing Addendum.

2. Information we collect

  • Account information: name, work email, password hash, organisation name, role and account status.
  • Organisation information: country, address, phone number, branding and team membership.
  • Workspace content: curriculum structures, topics, question content, answer keys, assessment patterns, exam papers, imports and practice books.
  • Support and sales information: messages, requested demonstrations, support tickets and related correspondence.
  • Technical and security information: IP address, device and browser information, timestamps, authentication events, error records and server logs.
  • Optional analytics: page visits and interaction information collected only after the visitor allows analytics.

We do not currently collect card details through Examiar. If online payments are introduced, payment information will be handled by the named payment provider and this policy will be updated before collection begins.

3. Sources and purposes

We receive information directly from users, organisation administrators, the devices used to access the service and service providers that help us operate Examiar. We use it to create and secure accounts, provide the assessment workflow, deliver support, maintain service reliability, prevent misuse, communicate service information, improve the product and comply with legal obligations.

Where applicable, our legal bases include performing a contract, complying with law, protecting legitimate interests such as service security and improvement, and consent for optional analytics or marketing.

4. Cookies and analytics

Essential cookies and local storage support authentication, security and saved privacy choices. Google Analytics and Microsoft Clarity may load through Google Tag Manager only after analytics consent. Visitors can refuse optional analytics or reopen Privacy settings at any time. The Cookie Policy provides further details.

5. Sharing and subprocessors

We do not sell personal information. We share information only with authorised organisation members, service providers needed to operate Examiar, professional advisers when necessary, authorities when legally required, or a successor in a properly managed business transaction. Providers must use information only for the services they supply to us. See our Subprocessor List.

6. International transfers

Examiar may be operated and supported from countries different from the user’s country. Where required, we use recognised safeguards for international transfers, such as contractual protections, and assess the provider and destination involved.

7. Retention and deletion

We retain account and workspace information while an account is active and afterwards only for legitimate operational, backup, dispute, security or legal needs. Retention depends on the type of information, contractual requirements and the risk of continued storage. Deleted production information may remain temporarily in restricted rolling backups until those backups expire. Organisations may request export or deletion before closing an account.

8. Security

We use proportionate technical and organisational safeguards, including encrypted transport, password hashing, access controls, role-based permissions, backups, logging and maintained hosting infrastructure. No internet service can guarantee absolute security. Users must protect credentials, use unique passwords and promptly report suspected compromise to support@examiar.com.

9. Individual rights

Depending on location and applicable law, a person may have rights to access, correct, delete, restrict or object to processing, withdraw consent, receive a portable copy, and complain to a privacy regulator. California residents may also have rights concerning disclosure, correction and deletion of personal information. We do not sell or share personal information for cross-context behavioural advertising.

Send a request to privacy@examiar.com. We may need to verify identity and authority before acting. An organisation’s users should normally contact their organisation first for requests about customer-controlled workspace content.

10. Children and student information

Direct Examiar accounts are intended for educators, administrators and other authorised users aged 18 or older. Examiar is not designed as a student social network. Organisations must avoid entering unnecessary student identifiers into questions, filenames, support messages or other content and must obtain any permissions required for student data they choose to process.

11. Changes and contact

We may update this policy as Examiar, our providers or applicable requirements change. Material changes will be communicated through the service or by email when appropriate. Privacy questions and requests can be sent to privacy@examiar.com.
